Managing Form Entries

Form entries are the responses or submissions you receive when someone fills out and submits a form on your WordPress site. 

They contain the data provided by the users, such as names, emails, feedback, or any other information you requested in the form.

This article shows you how to efficiently manage, access, and update these entries, including advanced entry management options to improve your form-handling experience.

Accessing Form Entries

Form entries can be found in your WordPress dashboard under SureForms > Forms.

You’ll see all the entry names here.

Viewing, Editing, and Deleting Entries

To see entry details, click the entry’s title or the “View” button. ​​

You can also delete an entry by clicking the “Trash” button.

The “Quick Edit” option next to ‘View’ lets you modify entry details such as the title, status, date, or make it private.

Once inside, you’ll see the responses filled out by the users under Form Data.

Under Submission Info, you can view details like the form name, ID, and which browser and device were used.

You can rename the entry title, modify the date, and then click the “Update” button.

You can also rearrange these form components to suit your preferences.

Filtering Entries

Filters allow you to sort and find specific entries based on criteria such as date and form name. 

This is especially useful if you have a large number of entries and need to find something specific.

For example, if you want to see all entries submitted for the “contact form” within the last month, you can use a date and form entry filter to display only those entries.

Here’s how you can do it:

  • Go to SureForms > Entries.
  • Select the preferred time range from the All dates dropdown, then click the “Filter” button.

SureForms will show you all the entries within the specified time range.

  • Select the form name from the All Form Entries dropdown, then click the “Filter” button again.

Now, both these filters will give you entries within the specified time range.

  • Additionally, you can search for a specific entry on the search bar.

Bulk Options

Bulk options let you perform actions on multiple entries at once, saving you time and effort. Common bulk actions include changing the status of entries or deleting entries.

Here’s how you can use these bulk options:

  • Select the desired form entries and click on the Bulk actions dropdown. 

Note: You can select all of the entries by clicking on “First Field”.

  • Select “Move to Trash” and click on the “Apply” button to delete all the selected entries.
  • If you selected “Edit” and clicked the “Apply” button, you’ll see the following options for your selected entries.
  • Under Status, you can change the entry status for all the selected entries. 
  • Click on the “Update” button.

Now, all the selected entries will have their status changed at once.

Advanced Entry Management Options

SureForms offers several advanced options to enhance how you manage your form entries:

Schedule Entries For Future Release

You can schedule the date of an entry to a future date and time, so it is released at that specified time. 

This is useful for planning ahead and ensuring that entries are processed or made visible at the most appropriate time. 

For example, you might use this feature to align entry visibility with marketing campaigns.

Here’s how you can do it:

  • Select the entry you want to schedule.
  • Click on the “Edit” button under Publish.
  • Choose any future date and time, then click on “OK”.
  • Then, click the “Schedule” button.

Protect Entries with Password

Secure sensitive form entries by protecting them with a password, ensuring only authorized users can access the information. 

This is particularly useful when you’re handling confidential data or for forms that require restricted access.

  • Click on the “Quick Edit” button under an entry.
  • Enter a new password here and click on the “Update” button.

Your entry will now be password-protected.

Visualize Entries

See visual representations of your entries. This can help you make informed decisions based on the overview gathered from your form submissions.
